Automatic status tracking of all open orders - daily, instead of on request

How a procurement department tracks the status of thousands of parcels across four to five carriers every day, automatically, spotting delays before anyone asks.

Customer anonymised ROI 5 FTEs
Starting point

The procurement department wanted to track the shipping status of its orders and react to delays proactively. Thousands of parcels are in transit worldwide, shipped by four to five carriers. Before automation, the team only reacted to urgent requests from its stakeholders - usually once an order was already late.

Solution

A robot goes through all open orders. Depending on the status, it refreshes the order data: estimated delivery dates, goods receipts and invoiced amounts. It matches order, invoice and goods receipt on quantity and price, and checks the parcel's shipping status across the carriers until it finds the right one.
