Pending change control records had to be monitored manually in the compliance system and handled one at a time: extract the data, generate the customer report, send it, upload it, update the due date and the workflow state. Every step depended on the one before – time-intensive, heavily rule-dependent and open to inconsistency.

Solution

A robot retrieves all pending records and works through them in turn – Requests and Notifications, each with its own logic. It generates the customer report, sends it, files report and email on the record, updates the due date and workflow state, and stores the attachments in the customer archive. Where data is missing or rules are not met, the person responsible is notified; at the end of the run the Excel tracking matrix is updated and a process report goes out.
