A wholesale supplier serving the gastronomy sector receives around 100 orders by email every day – as Excel or PDF attachments, each customer with its own layout. Details such as quantity, unit of measure and order date have to be extracted accurately and entered into the ERP before the order can exist at all. Most of them arrive in the morning, and everything has to be captured by 11 a.m., or the delivery no longer goes out the same day.
When an order comes in, a robot downloads the attachment and passes it to an AI agent that reads out details such as quantity, unit of measure and delivery location. For known formats, a stored template applies and extracts the data with 100% accuracy. If the format is new, the robot generates a draft and places it in the Validation Station – a Power App where employees confirm the structure and check the data; the format is learned from then on. Once the data is confirmed, the robot transfers it into the ERP.
