Automatic classification and filing of batch reports
How a Swiss pharmaceutical manufacturer automatically classifies, renames, and files batch reports, eliminating the need to search through documents of up to 100 pages to find two key identifiers.
Incoming batch reports need to be classified by product, batch, date, and review status and stored correctly. The manual review and tagging process ties up quality team capacity and increases the risk of filing errors and audit findings.
An RPA robot monitors the folder and automatically starts whenever a new PDF is received. It reads the document content, determines the appropriate category, extracts the Batch ID using pattern recognition as well as the Batch Number, renames the file according to a standardized naming convention, and stores it in the correct target folder. The original file is archived. At the end of each processing cycle, an email summary is sent containing all processed documents and their file paths.
